One of your most important tasks as a tour operator is to ensure your liability waivers are up-to-date, well-organized, and completed by every single guest that comes through your door. While essential, these critical documents can add a lot of work to your to-do list.

At Checkfront, we have the perfect solution – digital waivers. With online waivers, guests can complete their waivers before their tour date. In addition, the best waiver software helps to optimize your documents with features that allow you to automatically send reminders, customize fields, create multiple templates for different needs, link to your electronic waivers for easy access, and store them securely on the cloud.

Let’s walk through the benefits of taking your waiver forms online and our top three tips on how to get the most out of your digital waivers with Checkfront.

Why you should use digital waivers

Whether you run a kayak rental business or ziplining course, accidents can happen even with extensive safety plans. That’s why digital waivers are essential —they protect your business from the risk of injury, damage, or property loss.

While these documents are a must for your business, dealing with a paper trail can be cumbersome. Using digital waivers eliminates unnecessary steps for both you and your guests. There are many benefits of having waiver forms online, including:

  • Streamlined check-in
  • Automatically organized documents
  • More sustainable
  • Secure storage
  • Professional first impression

With Checkfront, you can expect all of these benefits, helping you establish a smooth booking process from start to finish.

3 tips to get the most out of your digital waivers

The best waiver software enhances the entire online booking process. At Checkfront, we encourage our plan users with access to digital waivers to maximize this solution by taking advantage of things like:

  • Automated reminders
  • Customizable waiver organization
  • QR codes

By leveraging these capabilities, you will optimize your waiver process, resulting in a simplified method for you and an exceptional experience for your guests. So let’s explore how to get the most out of your digital waivers.

1. Use automated reminders

Has there ever been a time where you received a request to fill out a form online and then forgotten, only to remember when you show up to the event or appointment? We’ve all been there. A helpful way to ensure this doesn’t happen to your guests is to set up automated reminders. For example, create due dates and reminder schedules to notify your guests that they must complete their waivers before their scheduled activity.

With Checkfront, setting up reminders is a quick, simple process. It only takes a few clicks to have automated reminders ready to go, so your guests get helpful nudges, and you can focus on other tasks.

How to set up automated reminders in Checkfront

You will see a panel with various settings on the right-hand side of your waiver forms. To set reminders:

  1. Click ‘Reminder Schedule’
  2. Choose a timeline from the drop-down menu
  3. Click ‘Save’

From here, you can also create follow-up messages, set due dates, and organize forms based on activity.

2. Organize waiver forms per activity

If you offer different tour types or a variety of rental equipment, you will likely have specific waivers for each experience.

Depending on the nature of your business, it may be necessary to require your guests to sign a liability waiver or medical release form before participating in an activity. Checkfront allows you to create all types of these documents within your account on select plans.

You can create multiple documents and assign them to your items or products. You might require, for example, a damage waiver for a stay at your accommodation but a separate release of liability for your kayaking tour.

Waivers & Documents management can be accessed from your Checkfront dashboard main menu.

How to manage your Waivers & Documents in Checkfront

  1. Select ‘Booking’ in the top navigation bar, then
  2. Select ‘Waivers & Documents’ in the drop-down menu

On the ‘All Documents’ tab, you’ll see options to create new document templates, manage your current documents, and search for previously completed waivers.

Have a special event coming up? If you don’t want a specific waiver listed on your public directory of waiver forms, simply hide it from public view! To do this:

  1. Go to the waiver template you’d like to hide and click ‘Configuration’ in the top right-hand corner
  2. Check the box beside ‘hide template from public document directory’
  3. Click ‘Save’ in the bottom right-hand corner

Organizing your waivers and other documents is simple with Checkfront. You can categorize them specifically to your business’s needs in a matter of minutes, saving you valuable time.

3. Leverage QR codes

Despite your best efforts, there will be times when your guests just haven’t been able to get the online waiver completed ahead of time. We have a simple solution. Place QR codes that link to your waivers page around your space – that way, guests can efficiently complete online waivers as you check them in.

Since you’ve already organized your waiver forms, it’ll be easy for guests to know exactly which form they need to sign. This makes it quick and easy for your guests to get the information they need and for you to ensure the correct forms are completed before check-in.

How to create QR codes for your online waivers in Checkfront

  1. In Chrome, sign in to your Checkfront account
  2. Under ‘Booking’ on the top navigation, select ‘Waivers & Documents’
  3. On the left-hand side, select ‘Kiosk Directory’
  4. Right-click on the page and select ‘Create QR code for this page’
  5. Download the QR code and print it

Now guests can scan that QR code and will be directed to your public directory of waiver forms, providing a seamless check-in experience on the spot. By anticipating their needs with small details like this, your guests will be left with an exceptional experience they’ll want to rave about in reviews later on.
