Where do I access this in Checkfront?
Your sales report is accessible via the main menu bar at Reports > Sales

 

Sales Report

The sales report is kind of a jack of all trades in that you can generate multiple different report types from one page in your Checkfront dashboard. In total, there are 7 different report types and each of these can then be filtered by date range, the staff member who made the booking, the booking category and then by individual items.

The different reports are accessible through a drop-down menu, next to the main page title as seen below:

We’ll look at each report individually, starting with the Day report. We’ll show you how to first of all generate the report, but then also how to use the filtering facilities to target more specific results. Then, for the other report types, we’ll just provide a description of the report without the filtering, since you should by then understand how to use it ;)

 

Sales Report: Day

The Day Sales Report shows the revenue generated on any given day during the timeframe selected. The available data columns are as follows:

Date:

There are 3 ways to choose the dates for the Date column. Using the drop-down menu, as shown below, you can choose whether to display the date the booking was created, the date the booking starts, or the date the booking ends. From the second part of the date selector, you can then choose a timeframe from which to select the dates.

In the example below, we have chosen to display the date a booking was created, within the last 30 days.

Please note, if a date is not included in the report, there were no bookings on that day.

Item Quantity:

The next column displays the number of items booked during the reporting period. This includes all items booked, unless you’re using a report filter, which we’ll look at later.

Discounts:

Total of any discounts that were applied to the bookings for the date in question.

Gross Sales:

Total revenue generated on the date selected, not including any discounts that were applied to the bookings.

Net Sales:

Total revenue generated on the date selected, including any discounts that were applied to the bookings.

Taxes:

Total taxes applied to the bookings that day. Depending on your local tax requirements, there may be more than one tax column here.

Total:

Total amount received from the bookings that day, including any applicable taxes and applied discounts.

 
 


 

Columns

Columns can be turned on or off by checking/un-checking the blue boxes as seen in the image below. Columns may also be re-arranged by dragging and dropping using the dot pattern to the left of each field, also seen below. The same applies to all other reports.

Report Filtering

As mentioned above, each report can be filtered to produce very specific and targeted results. In addition to the date range, you can filter your results by the staff member who made the booking, the product category and a specific item.

Staff Filter

To filter your results by staff member, click on the button labelled Staff and make a selection from the drop-down menu. The results will display all bookings made by that staff member during the chosen date range.

Category Filter

To filter your results by item category, click on the button labelled Category and make a selection from the drop-down menu. The results will display all bookings that contain items from the chosen category.

To filter your results by item, click on the button labelled Item and make a selection from the drop-down menu. The results will display all bookings that contain the selected item.

Sales Report: Booking Item

The Booking Item Sales Report shows all separate bookings during the selected timeframe on a per item basis.

The available data columns are as follows:

Booking Code:

Booking reference code. This is hyperlinked and can be clicked on to access the booking invoice.

Status:

Shows the current status of the booking in question.

Item Name:

Name of the item which has been booked. You can group like items together by clicking on the column header, as shown in the image above. Clicking again will reverse the display order. The data in this field is hyperlinked, so you can click on it to access the item’s edit screen.

Item SKU:

Unique product ID code given to your item.

Created Date:

Date on which the booking was made.

Staff:

Name of the staff member who made the booking (hidden from view in screenshot above).

Customer Name:

Name of the customer that made the booking. The data in this field is hyperlinked, so you can click on it to access the customer record.

Item Quantity:

The next column displays the quantity of the item booked.

Discounts:

Total of any discounts that were applied to the booking.

Gross Sales:

Total revenue generated, not including any discounts that were applied to the booking.

Net Sales:

Total revenue generated, including any discounts that were applied to the booking.

Taxes:

Total taxes applied to the booking. Depending on your local tax requirements, there may be more than one tax column here.

Total:

 Total amount received from the booking, including any applicable taxes and applied discounts.

 

 


 

Sales Report: Booking

The Booking Sales Report shows a list of all invoices generated during the selected timeframe.

The available data columns are as follows:

Booking Code:

Booking reference code. This is hyperlinked and can be clicked on to access the booking invoice.

Status:

Shows the current status of the booking in question.

Staff:

Name of the staff member who made the booking.

Created Date:

Date on which the booking was made.

Customer Name:

Name of the customer that made the booking. The data in this field is hyperlinked, so you can click on it to access the customer record.

Item Quantity:

The next column displays the quantity of the items booked.

Discounts:

Total of any discounts that were applied to the booking.

Gross Sales:

Total revenue generated, not including any discounts that were applied to the booking.

Net Sales:

Total revenue generated, including any discounts that were applied to the booking.

Taxes:

Total taxes applied to the booking. Depending on your local tax requirements, there may be more than one tax column here.

Total:

Total amount received from the booking, including any applicable taxes and applied discounts.

Paid Total:

Total amount paid towards the invoice balance.

Balance Owing:

Balance owing on the invoice. This is the invoice total minus any payments that have already been applied.

 

 


 

Sales Report: Customer

The Customer Sales Report shows a list of all customers that have made a booking during the timeframe selected.

The available data columns are as follows:

Customer Name:

 Name of the customer that made the booking. The data in this field is hyperlinked, so you can click on it to access the customer record.

Customer Email:

Email address of the customer who made the booking.

Customer Phone:

 Phone number, if supplied, of the customer who made the booking.

Item Quantity:

The next column displays the quantity of the items booked by the customer during the selected timeframe.

Discounts:

Total of any discounts that were applied to the customer’s bookings.

Gross Sales:

 Total revenue generated from the customer, not including any discounts that were applied to their bookings.

Net Sales:

 Total revenue generated from the customer, including any discounts that were applied to their bookings.

Taxes:

 Total taxes applied to the bookings. Depending on your local tax requirements, there may be more than one tax column here.

Total:

 Total amount received from the bookings, including any applicable taxes and applied discounts.

Paid Total:

 Total amount paid towards the invoice balances.

Balance Owing:

 Balance owing on the invoices. This is the invoice total minus any payments that have already been applied.

 

 


 

Sales Report: Staff

The Staff Sales Report shows bookings totals for all staff members during the selected timeframe.

The available data columns are as follows:

Staff:

Name of the staff member to which the data is attributed.

Item Quantity:

Number of items booked by the staff member during the selected timeframe.

Discounts:

Total of any discounts that were applied to the bookings.

Gross Sales:

Total revenue generated, not including any discounts that were applied to the bookings.

Net Sales:

Total revenue generated, including any discounts that were applied to the bookings.

Taxes:

Total taxes applied to the bookings. Depending on your local tax requirements, there may be more than one tax column here.

Total:

Total amount received from the bookings, including any applicable taxes and applied discounts.

 

 


 

Sales Report: Category

The Category Sales Report shows booking data for each individual category during the selected timeframe. If a category is not listed in the report, then there were no bookings during that period.

Category Name:

Name of the category to which the data is attributed.

Number of items booked in the category during the selected timeframe.

Sales Report: Item

The Item Sales Report shows booking data for each individual item during the selected timeframe. If an item is not listed in the report, then there were no bookings during that period.

The available data columns are as follows:

Item Name:

Name of the item to which the data is attributed.

Item SKU:

Unique product ID code given to the item.

Item Quantity:

Number of items booked during the selected timeframe.

Discounts:

Total of any discounts that were applied to the bookings.

Gross Sales:

Total revenue generated, not including any discounts that were applied to the bookings.

Net Sales:

Total revenue generated, including any discounts that were applied to the bookings.

Taxes:

Total taxes applied to the bookings. Depending on your local tax requirements, there may be more than one tax column here.

Total:

Total amount received from the bookings, including any applicable taxes and applied discounts.

Export

 
Report Export
 

You can export a report from your bookmarks page using the link in the top right corner, next to the columns button. You are able to enter a name for the report and choose the output format. Current formats include:

• MS Excel
• CSV
• PDF
• XML

The report can be saved to your computer, an email or Google Drive.
