Where do I access this in Checkfront?
Your revenue report is accessible via the main menu bar at Reports > Other > Allocation & Occupancy

 

Allocation & Occupancy Report


The Allocation & Occupancy Report provides a detailed monthly overview of your item availability, number of bookings, unbooked availability, average occupancy and a few data points related to average revenue and actual revenue. All this on a per item basis. We’ll look at each of these data fields in more detail further down the page.

First of all, to access the report, please visit Reports > Other > Allocation & Occupancy Report from your main dashboard menu. Upon arriving at the destination page, you should see a view similar to the one below.

At the top of the page you’ll see an overview of the current year and directly below that will be January’s statistics for each of your items. Each month is contained in its own table and these continue right down until the end of the year.

Quick Tip:
The occupancy report will retrieve data for items using the Day or Night allocation types only. An item using the hourly allocation will not be included in this report.

 
 


 

Change the Year

If you’d like to view another year from your account history, all you have to do is select one from the drop-down menu after clicking on the year button, which will be displaying the current year you are viewing.

View a Specific Category

To view the data for a specific category, click on the category button, next to the year button, at the top of the page.

By default, all categories will be visible when first arriving at the report page. Once you click on a specific category, its name will be displayed on the button and all other category data will be filtered from the report.

Data Columns

The Allocation & Occupancy Report is divided up into a number of data columns. These are as follows:

Item:

Name of the item to which the line of data corresponds.

Booked:

Number of times this item was booked during the reporting period (month).

Unbooked:

Item allocation not booked during the reporting period (month).

Closed:

Item allocation not booked due to closure (unavailable for booking).

Total:

Total item allocation during the reporting period (month)

Average Occupancy:

Percentage figure to show the average used allocation of the item.

Average Rate:

Average price of the item, including any discounts that may have been used by paying guests.

Average Per Availability:

Average dollar amount earned per unit available. Revenue divided by total allocation.

Average Per Day:

Average dollar amount earned, per unit, on a daily basis during the reporting period (month).

Revenue:

Revenue earned by the item for the reporting period (month).

At the top of the report are totals for the entire year, based on all items, or those in the selected category.

You can export your items report using the link in the top right corner. You are able to enter a name for the report and choose the output format. Current formats include:

• MS Excel
• CSV
• PDF
• XML

The report can be saved to your computer, an email or Google Drive.
