Integrating Zoho CRM With Checkfront
Zoho CRM is a hosted Customer Relationship Management (CRM) application, part of the (much) larger Zoho Suite. Zoho CRM is a popular low-cost alternative to Salesforce and provides a free account for up to 3 staff members.
This add-on is available in your Checkfront add-ons area and provides the ability to automatically create new leads and contacts, or update existing ones in Zoho, when a booking is created via Checkfront. The add-on can automatically create a new event or note within Zoho and attach to it the booking summary.
If you are an existing Zoho user, this will ensure your customer records are kept in sync, and you can take full advantage of the many customer management tools of Zoho CRM.
Setup in Zoho CRM
To enable the Zoho extension, you must first log into your Zoho CRM account and generate an API key or Auth Token. You don’t need to do anything with the key as it will be used in the background by your web browser. Get started by clicking on the configuration icon in the top right of the page (1), followed by Setup in the drop-down menu (2).
From here, select APIs under the Extensions & APIs section (3).
Next, you’ll be presented with a table of API usage statistics (see below). In the top right corner of this content area is another configuration icon.
Click on this to open a drop-down menu (1).
At the bottom of this menu, click on the link labelled Authentication Token Generation (2).
A small window will slide in from the top, containing a green button labelled Generate.
To the left of this button is an input field where you will need to enter the name of your application. You can enter whatever you like in here, but Checkfront will probably suffice.
Click the Generate button to complete the process.
You should now see a result that looks something like this:
And that’s it for the setup in Zoho. As mentioned earlier, you don’t need to do anything with the token you have just generated as it will be used in the background by your web browser.
Setup in Checkfront
Login to your Checkfront account, navigate to Manage > Add-ons, then select the Zoho CRM tile. From there, provide your account details, and select the integration options you wish to use.
If you select lead, from the Action field, only the contact details of your customer will be sent to Zoho when a booking is made in Checkfront. To attach any additional information you should choose Contact instead.
In the Attach field below this, you can choose the information you wish to attach. For most people, this will probably be Event. Selecting this will add the booking details to your Zoho contact as an Open Activity.
Testing the Setup
To test your setup, create a new booking and set the status to Reserved, Paid or Deposit.
An email address must be supplied during the booking process, otherwise the reservation will not be carried across to Zoho.
You should see the new data appear in Zoho, including the customer contact details and booking information.
You can quickly access a customer record in Zoho by clicking on the Open in Zoho CRM button at the bottom of your invoices in Checkfront (highlighted by the red box above).
Conversely, you can also click on the booking ID link in your Zoho CRM customer record to access the booking in your Checkfront account.

Zoho limits the number of API requests you can make in a given day based on your plan. A new booking from Checkfront can use up to three API calls. Please ensure the Zoho plan you are subscribed to is in-line with the number of bookings you expect on a daily basis.
