The Booking Index is your central hub for creating reports within Checkfront. Using the menus provided at the top of the page, you can quickly generate a report based on very specific criteria and export this to be shared with the rest of your team.
Following, is a sample view of the Booking > Index screen.
So let’s have a look at the different options available through these menus:
Date FilterBack to top
There are two parts to the date range selector. The first of these buttons allows you to sort your list by the date the booking starts, ends or was created. You can also view bookings in progress.
The next button enables you to choose the date range for which the report should be generated. For example, you can view all bookings going forward or backward for a specified number of days. You can choose the bookings for the current month or maybe even last month. You can also view by the current week, a 7-day window or a 30-day window.
If you need to be even more specific than that, you can choose the custom option which affords you the ability to select a very specific start and end date for your report.
1) Select Custom from the drop-down menu, shown below.
2) Choose a start and end date by clicking on the calendar buttons which will now have appeared.
Category FilterBack to top
Your report can be customized further by selecting a specific category for which to apply your date filters. To do this, click on the Category Filter button and select your category from the dropdown list.
You can choose more than one category and the list will update accordingly.
Also, notice how a new button labeled Item appears next to the Category Filter button, once a category has been selected. This enables you to drill down even further and select a specific item from within the category or categories chosen.

As with the categories, you can create a more targeted report by selecting the status of the bookings you wish to see. For example, if you choose to view the bookings with the Paid status only, all other invoices will be filtered out from your report.
Multiple statuses may be selected for the report.

Your bookings may come from different sources and you may therefore wish to compile a report based on that. Use this menu to select bookings made through the website, a mobile device or one of your own staff members/partners.

Hitting the Clear button will simply reset the booking index back to its default view.
External BookingsBack to top
The Booking Index page has an external bookings button. Once a booking has been made through one of your third-party channels, it will be automatically added to Checkfront and shown on the external bookings page. Click this button to review your external bookings.
You will now see a list of all the bookings that have come in through third-party channels. From here, you can see the source of the booking, which might be MyAllocator or one of your partners. You can also see which channel the booking came in from, the customer name and email address, amount of the booking, the item booked with start and end dates, plus the current status of the booking.
If the booking status is New, select the booking by clicking on any of the information in the table. A pop-up window will present the details of the booking.
Import BookingsBack to top
If you have any external bookings which are not part of your Checkfront account, you can import them to the system by clicking on the Import button, highlighted below.

BookletBack to top
The booklet enables you to select a number of bookings and compile them into a report that can be flipped through on the computer screen as if they had been printed on as an actual paper booklet.
You can advance/go back through the pages of the report by either clicking in the top outermost corner of each page or by using the arrow keys on your keyboard. Click return to report to close this view and return to the booking index page.

The columns menu allows you to choose exactly which information is and isn’t included in the report you are generating.
You can choose to display the standard system fields that come with Checkfront and/or any custom fields you have created on your booking form at Manage > Layout > Booking Form. Simply check a column to include it in the report or uncheck it to leave it out. You can change this on a report by report basis if you like.
To reorder the columns in your report, click and hold your mouse over the “dots” by each column title and drag it to where you’d like it to be. Click save when ready and your report should be updated with the changes you’ve made.

You can export a report from your bookmarks page using the link in the top right corner, next to the columns button.
You are able to enter a name for the report and choose the output format.
Current formats include:
• MS Excel
The report can be saved to your computer, an email or Google Drive.
Bulk UpdateBack to top
The bulk update feature can be accessed by selecting at least one booking from the list by clicking on the circle in the Booking column. Once a booking is selected, the Bulk button will appear, as seen in the clip below.
Once clicked, you will see a pop-up window appear with a variety of available options. They are as follows:
Add Note: Add a quick note to all selected bookings in one go.
Update Status: Update the selected bookings status. Uncheck Deliver Notifications to prevent a confirmation being sent to the customer.
Batch Print Invoices: Creates a batch of all selected bookings, ready to print.
Check-in: Checks in all selected bookings. Great for the arrival of a coach party.
Check-out: Checks out all selected bookings at once.
If more than one booking is selected, any changes you make in the pop-up window will be applied to all.
